How Vera Vastgoed saves 20 hours a week with AI

Momentum built Vera Vastgoed "Klok": custom time tracking that lets contractors check in and out per property via a QR code. Hours, costs, and work all come together automatically in one dashboard, with AI that turns spoken memos into clear descriptions.

About Vera Vastgoed

Vera Vastgoed, based in Kampen, develops and manages real estate and renovates properties at multiple locations at once. During a renovation like that, contractors are around every day in different buildings, each with their own hours, their own kind of work, and their own costs.

That's exactly where the challenge was: keeping track of who logs how many hours where, and what that costs per property. Vera Vastgoed was looking for a way to capture that simply, reliably, and without paperwork. So Momentum built a custom time-tracking system for it: "Klok".

The challenge

Tracking hours happened with loose notes, text messages, and separate lists. At the end of the month, everything had to be pulled together by hand: how many hours had which contractor logged in which property, and what were the costs per building? Error-prone, time-consuming, and never quite up to date.

On top of that, there was no easy way to record exactly what had been done. Contractors work with their hands, not with forms: typing out a description on the job site simply doesn't happen.

We only knew what a property had really cost us in hours after the fact. Now I can see it live.

The solution

Momentum built "Klok": custom time tracking, fully tailored to how Vera Vastgoed works. Every building gets its own QR code that hangs at the entrance. A contractor scans on arrival and departure, and that's all it takes to book his hours to the right property.

Vera Vastgoed Klok: buildings & QR codes
Every building gets its own QR code; contractors check in and out with a single scan.

When checking out, the contractor briefly records what he did. AI automatically turns that voice memo into a clean description, exactly the line that appears under the button and captures the borderline cases. No typing on the job site, but a complete and readable record of the work.

Vera Vastgoed Klok, checking out with a voice memo and AI description
At check-out the contractor records a voice memo; AI turns it into the tidy description below the button.

All sessions, hours, and costs flow together into one dashboard. Vera Vastgoed sees in real time how many hours have been logged, by whom, in which property, and at what cost, broken down by month, by contractor, and by building.

Vera Vastgoed Klok: dashboard with hours and costs
The dashboard shows hours and costs per month, per contractor, and per building in one overview.

Result

1 scan
Checking in and out per property, without paperwork
Real-time
Hours and costs per contractor and per building
0 min
Collecting hours by hand at the end of the month

Where the monthly hours overview used to be pulled together by hand, now it adds up on its own. Every scanned session lands directly on the right property, with the matching costs and an AI-written description of the work. Vera Vastgoed knows at any moment exactly where the hours and the money are going.

Klok shows what custom software delivers: a solution that fits the way you actually work instead of the other way around. Simple for the contractor on the job site, and fully transparent for the organization behind it. A great partnership that we're happy to continue and build on further.
